Processing Full Order Voids & Card Refunds
A void is a single-step, full refund of an order — use it when the entire sale needs to be reversed at once.
1. When You Can Void an Order
The Void & Refund action is only available while an order's status is Paid / Completed — that is, before any refund has touched it yet. Once any refund (partial or full) has been issued, the order moves to Voided or Partial Refund status and the void option disappears; from that point on, any remaining balance has to go through a partial refund instead (see the partial refunds article).
Voiding also requires the order to have gone through Stripe — an order paid entirely in cash has no card charge to reverse, so it can't be voided from the app. Handle cash sales directly at your cash box instead. Orders paid by card (or split between card and cash) can be voided normally.
There's no time limit in the app itself — you can void an order from today or from weeks ago, as long as it's still in Paid status.
2. Voiding an Order
Web Portal:
- Go to Orders and click the order to expand it.
- Click Void & Refund (in red, in the action row at the bottom of the expanded order).
- Confirm the prompt — this issues a full refund immediately.
Mobile:
- Open the Orders tab and tap the order to expand it.
- Tap Void & Refund.
- Confirm the alert: "This will issue a full refund of $X.XX to the card. This cannot be undone."
3. What Happens After a Void
The full order total is refunded through Stripe back to the original card in one transaction. The order's status changes to Voided, and the refund is recorded against the order permanently — you'll see the refunded amount on the order's detail view alongside the original total.
Frequently Asked Questions
Can I void just part of an order?
No — voiding always refunds the full order amount in one action. To return a specific dollar amount instead, use a partial refund.
Can I undo a void?
No. Once submitted, the refund is issued through Stripe immediately and can't be reversed from the app.
What if the order was paid partly in cash and partly by card?
Void still works — it issues a full Stripe refund for the order, since a card charge exists on the order to reverse. Only fully cash-tendered orders (no card component at all) can't be voided through the app.
