Managing Team Members & Role Permissions

Understand what Owner, Manager, Seller, and Viewer can each do, how to invite or change a member's role, and how the account's primary contact works.


1. The Four Roles

Role What they can do
Owner Full access, including billing & team management
Manager Manage orders and products
Seller Take orders and view order history
Viewer View order history only

Any existing Owner can grant or revoke Owner on another team member — a vendor account can have as many Owners as it needs, not just one. Owner is assigned the same way as any other role, via invite or Change Role.

Team management itself — inviting and managing team members — is a Team or Enterprise plan feature. On Freemium and Premium, an account is single-user.


2. Inviting Team Members

Web Portal:

  1. Go to the Team page.
  2. Under "Invite Team Member," enter the person's email address and choose a role — Owner, Manager, Seller, or Viewer.
  3. Click Send Invite. They'll receive an invitation email.

Mobile: Go to Config > Team Members (visible to Owners on Team/Enterprise plans) to invite, view, and manage the same list.

Your plan sets a seat limit — Team includes up to 5 users (extendable with user packs, see the plan tiers article), and Enterprise is unlimited. Every seat counts toward this limit regardless of role, including additional Owners.


3. Changing a Member's Role

Any Owner can change another member's role at any time:

  • Web Portal: use the role dropdown directly on their row on the Team page.
  • Mobile: tap Change Role on their card in Config > Team Members.

Two safeguards apply when a change would take Owner away from someone:

  • An account can never be left with zero Owners. If the person you're demoting or removing is the only Owner left, you'll need to promote someone else to Owner first.
  • The account's primary contact can't be demoted or removed while they hold that designation — see Primary Contact below. Transfer it to someone else first.

4. What Each Role Can Access in Config

The mobile Config tab shows different rows depending on role:

  • Owner-only: Store Profile, Tax, Receipts, Operations, Plan & Billing, Hardware Store.
  • Owner or Manager: Market Locations, Session History, Payment Setup, Products, Team Members.
  • Owner, Manager, or Seller: Inventory.
  • Everyone: Account, Achievements, Contact Support.

Tap to Pay on iPhone additionally requires an Owner or Manager to accept Apple's terms and conditions before any seller can use it on that device.


5. Removing Members & Resending Invites

From the Portal's Team page, or Config > Team Members on mobile (Owners and Managers only):

  • Resend Invite — for anyone still in "Invited" status.
  • Remove — deactivates the member. Blocked if they're the account's last Owner or current primary contact (see the safeguards above).

A Recent Activity log on the Team page shows recent invite, role-change, and removal actions.


6. Primary Contact

Exactly one Owner is always designated as the account's primary contact — the person hardware order confirmations, session-close reports, billing receipts, and support correspondence default to. This is separate from the Owner role itself: an account can have several Owners, but only one primary contact at a time.

To change it, any Owner can use Transfer Primary Contact (Web Portal Team page, or Config > Team Members on mobile) and pick another current Owner. This doesn't change anyone's role or permissions — it only moves where account-level communications are addressed. The target must already be an Owner; promote them first via Change Role if they aren't one yet.


Frequently Asked Questions

Who can invite, remove, or change the role of team members?

Owners and Managers can invite and remove members. Only Owners can change a member's role (including granting or revoking Owner) or transfer the primary contact.

Can more than one person be an Owner?

Yes. Owner is a regular assignable role — grant it to as many team members as your account needs via invite or Change Role.

What's the difference between an Owner and the primary contact?

Owner is a permissions level; primary contact is a single point of contact for account-level emails (hardware orders, session reports, billing, support). Every primary contact must be an Owner, but not every Owner is the primary contact.
