Seasonal Produce & Catalog Archiving
Manage a product's availability with three statuses — Active, Seasonal, and Archived — without losing its sales history.
1. The Three Statuses
Every product has a Status, set in the product form on either the mobile app or Web Portal:
- Active — shown at checkout and included in the default product list.
- Seasonal — for products you rotate in and out (e.g. only available certain months). Seasonal products don't show on the register by default the same way Active ones do.
- Archived — retired from the catalog. Past orders that included this product keep their history; the product itself just stops appearing for new sales.
2. Changing a Product's Status
Mobile app: open the product in Config > Products, use the Status segmented control (Active / Seasonal / Archived), and tap Save. Existing (non-archived) products also have a dedicated Archive Product button at the bottom of the edit screen as a shortcut.
Web Portal: open Products, then either:
- Click Edit on a product and change the Status dropdown, or
- Use the quick Archive / Activate link on that product's row in the table — this toggles it directly between Active and Archived without opening the full edit form.
3. Filtering Your Catalog by Status
Both the mobile Config > Products list and the Web Portal's Products page have filter tabs for All / Active / Seasonal / Archived (mobile) or Active / Seasonal / Archived (Portal), so you can quickly find products in any state — including archived ones, if you need to reactivate something.
Frequently Asked Questions
Does archiving a product delete its sales history?
No. Archiving only changes the product's status — past orders, reports, and receipts that reference it are unaffected.
Can I bring an archived product back?
Yes — open it and change its Status back to Active (or use Activate on its row in the Web Portal).
What's the practical difference between Seasonal and Archived if both are hidden from the register?
Seasonal is meant for products you expect to bring back regularly (e.g. by the calendar), so they stay easy to find and re-activate each season, while Archived is for products you've fully retired from the catalog. Functionally, switching either one back to Active makes it available again the same way.
